Beyond Manufacturing: Getting Lanterns to Your Venue
A Chinese lantern festival manufacturer must excel not only at production but at international export logistics. Shipping fragile, oversized lantern sculptures across oceans requires expertise in packaging, documentation, customs, and delivery coordination. This article explains the logistics process.
Packing for International Shipping
Lanterns are packed in custom-built wooden crates with foam padding and bubble wrap. Large pieces are partially disassembled (framework sections, fabric panels) with labeled components and assembly instructions. Each crate is weighed, measured, and labeled with contents, destination, and handling instructions. Crates are treated for export (ISPM-15 heat treatment) to meet international phytosanitary standards.
Shipping Options
Sea Freight (LCL/FCL): The most economical option, taking 4-6 weeks to most destinations. A medium festival (50-80 pieces) typically fills 2-4 40ft containers. We recommend booking 8-10 weeks before installation begins.
Air Freight: For urgent projects, air freight takes 3-7 days but costs 3-5x more than sea freight. Suitable for small festivals or replacement pieces. We recommend air freight only when timeline absolutely requires it.
Combined: Large pieces by sea, critical/replacement pieces by air. This balances cost and timeline security.
Export Documentation
We handle all export documentation: commercial invoice, packing list, bill of lading, certificate of origin, ISPM-15 treatment certificate, and any destination-specific documents (e.g., FDA prior notice for US, AQIS for Australia). Missing documents cause customs delays and additional fees.
Customs Clearance
Customs regulations vary by country. We work with your customs broker or can recommend one in your region. Lanterns are typically classified under HS code 9505 (festival articles) or 9405 (lighting fixtures), depending on composition. Tariff rates vary — we provide accurate classification to minimize duties.
Destination Delivery
We coordinate delivery from the port to your venue, including: drayage (port to warehouse/venue), liftgate service for heavy crates, and inside delivery if required. We recommend having the installation team on-site when crates arrive to inspect for shipping damage immediately.
Common Logistics Pitfalls
- Underestimating container space (lanterns are bulky, not dense)
- Not accounting for peak season shipping delays (Sept-Oct is peak)
- Improper crate labeling (delays customs inspection)
- Missing ISPM-15 treatment (crates refused at destination port)
- No damage inspection upon delivery (claims denied later)
